University storage quotas for Google and Microsoft 365

To support efficient, secure, and sustainable data management, Texas Woman’s University will implement storage quotas for Google and Microsoft 365 accounts effective August 1, 2026. These limits align with industry best practices and help ensure equitable access to storage resources across the university.

Accounts that exceed their assigned storage limits may experience restricted functionality, including the inability to upload files or send and receive email until storage is reduced. These quotas apply to active accounts only and do not impact Alumni Email accounts.

Storage Quotas

Google Workspace (Drive and Email – Combined Storage)

Storage is shared between Google Drive and Gmail.

  • Faculty: 50 GB combined
  • Staff: 50 GB combined
  • Students: 10 GB combined
  • Contractors: 5 GB combined
  • Student Applicants: 1 GB email, no Google Drive access

Microsoft 365 (OneDrive and Exchange Email – Combined Storage)

Microsoft 365 services (OneDrive, SharePoint, and Exchange/Email) are supported by the university’s enterprise backup solution.

  • Faculty: 50 GB combined
  • Staff: 50 GB combined
  • Students: 10 GB combined
  • Contractors: 5 GB combined
  • Student Applicants: 1 GB email, no OneDrive access

 

Storage Increase Requests

Requests for additional Google or Microsoft 365 storage may be submitted through the Technology Service Center and will be reviewed on a case-by-case basis.

 

What You Need to Do Now

To prepare for these changes, users are encouraged to take the following steps:

 

1. Review Storage Usage
Check your current usage and take action if you are approaching your limit by cleaning up, archiving, or moving data to approved storage solutions such as OneDrive  or X Drive.

 

2. Back Up and Retain Important Files
Move important files to OneDrive or X Drive as needed. Instructions are available here:
