Securely collect files with OneDrive’s request files feature

The OneDrive Request Files feature is now available for all TWU users! This tool makes it simple to receive files securely from both internal and external users—perfect for collaboration and document collection.

 

Handle Sensitive Information Carefully

While convenient, this feature comes with important security responsibilities. Be cautious when requesting or handling Personally Identifiable Information (PII), including:

  • Social Security numbers
  • Dates and places of birth
  • Biometric records
  • Medical, educational, financial, and employment data

 

Mandatory Retention Policy for PII

To protect sensitive data, files must be deleted automatically after a set period. The Retention Policy Flow ensures:

  • Daily automated checks of file timestamps
  • Automatic deletion after 30, 60, or 90 days
  • Individual configuration for each user

This process is required if you plan to collect files containing sensitive information.

 

How to Get Started

  1. Submit a ticket to request setup of the OneDrive Retention Policy Flow.
  2. IT configures the automated deletion process for your account.
  3. Use the Request Files feature once the retention flow is active.

 

Important Reminder

The “Request Files” folder is for file transmission only, not long-term storage. Keeping sensitive files longer than necessary increases security and compliance risks.
