Preparing for time away: Out-of-office tools for TWU systems

As we approach the end of the semester, many employees will be planning time away from the office. Several TWU systems include built-in tools to help ensure smooth communication and continuity while you are out. 

Oracle Cloud: Delegate or Reassign Tasks

Oracle Cloud allows users to delegate or reassign tasks during an absence using Vacation Rules.

Steps:

  1. Open Oracle Cloud
  2. Open Notifications
  3. Select Show All
  4. Select Worklist (opens in a new window)
  5. Select Username > Preferences
  6. Click Enable Vacation Period
  7. Enter Start Date and End Date
  8. Choose Delegate or Reassign
  9. Click Save

RingCentral: Out-of-Office Call Routing

RingCentral allows users to set custom out-of-office rules to manage calls and messages while away. Options include playing a custom greeting or rerouting calls to another number or user.

Email (Outlook and Gmail): Automatic Replies

Both Outlook and Gmail provide options to set out-of-office automatic responses.

These messages help notify senders of your absence and provide alternative contact information if needed.

Microsoft Teams: Out-of-Office Status

Before You Leave

To ensure a smooth transition during your absence, set up out-of-office replies in email, delegate or reassign critical tasks, update Teams status, and adjust call routing if needed.
