Electronic 2021 W-2 forms now available

The electronic 2021 W-2 forms are now available. If you did not consent to receive your W-2 electronically, your W-2 form will be mailed to your residential address by Jan. 31.

Access to your 2021 W-2 form is now available on and off campus for active employees. 

Current employees are now able to print an official copy of the W-2 form through the Pioneer Portal on or off campus. The IRS has allowed the truncation of Social Security numbers on the W-2 forms, so you will only see the last four digits of your Social Security number on the W-2 form in Pioneer Portal.

Through Pioneer Portal (on or off campus) 

  • Log-in to Pioneer Portal
  • Click on My Info.
  • Choose W-2 Information.
  • In the drop-down menu, choose the 2021 W-2 form.
  • Choose the printer friendly button above your W-2 to save/print your official W-2.

Note: Refer to the W-2 Portal Printing Instructions to print/save your W-2 or contact the IT Service Desk at techchat.twu.edu if you have questions regarding printing your W-2 form.


Through Oracle (on campus or VPN only)

  • Log-in to Oracle
  • Click on TWU Employee Self-Service
  • Choose W-2 Information
  • Click on the 2021 W-2 PDF
  • Choose the printer icon to print your W-2 form


To sign up for electronic W-2 consent for 2022:

If you have already consented to receive your W-2 electronically, no action is required. To sign up for electronic W-2 for 2022, you may sign up through Oracle, TWU Employee Self-Service.:

  • Choose W-2 Distribution Method and add the document type:  W-2. 
  • Change the drop-down menu to “Yes” for online and “No” for paper

You will begin to receive your W-2 electronically each year. If you choose to receive your W-2 electronically, you will not receive a mailed copy of your form W-2. 


Frequently Asked W-2 Questions:


Why doesn’t my W-2 form agree to the gross income on my payslip?  Why doesn’t my W-2 form agree to my annual salary?

Box 1 (Wages, tips, other compensation) on the W-2 form is your taxable income. Your taxable income can be obtained by reviewing your final payslip for 2021 (for most employees, this will be your 12/1/2021 payslip) and subtracting the YTD Pre-Tax Deductions from your YTD Gross Income.


What is the difference between Box 1 and Box 3 on my W-2 form?

Box 1 is your taxable income for federal income tax and Box 3 is your Social Security wages. The difference between these amounts is any pre-tax retirement contributions such as ORP, TRS, 403(b) or 457 contributions.


What is Box 12 Code DD?

The reporting in Box 12, using Code DD, is the cost of employer-sponsored health coverage and is for your information only. The amount reported with Code DD is not taxable.


Other Items:

Please allow the postal service sufficient time to deliver your W-2 form and reroute to a new address if you have moved.  If you have not received your W-2 form by Feb. 15, you may submit a request for a duplicate copy.
